To perform a variety of clerical support tasks
Principal Duties and Responsibilities:
To maintain updated records of all approved documents and drawings, and have their distribution clearly marked in a document/drawing log, or report provided by Ann Arbor Document Control. To maintain and distribute Approved for Construction documentation and drawings to the site employees. Support Client project staff with on-site administrative needs. Provide daily review of, and catalogue and distribute all drawings, and other submittals as required by the Project Manager. Ensure controlled copies of latest approved documents and drawings are distributed to the appropriate staff. Keep current hard copies and file supersede version. Maintain weekly/daily communication with Ann Arbor-Black & Veatch Document Control and Project Support Admin, to ensure consistency of document management process and use of data, and document control procedures. Assist others at project site with implementation of document control processes. Control documentation produced internally and externally via documetum, Prolog and/or other programs used for project support. Coordinate all site document control activities, including vendor and Black & Veatch drawing control. Maintain and distribute documents and comments according to the Project distribution matrix. Function as the liaison between Ann Arbor and Client Site regarding ALL administrative matters. Provide a high standard of service across the company and client job site. Follow and maintain Company Standards of Safety and Quality at client job site. Assist with all administrative tasks as needed at client job site. Proactively identify process improvements.
Minimum Qualifications:
High School Diploma or equivalent required. General Office Experience Preferred. Microsoft Office tools experience required including, Word, Excel, Outlook, Prolog and some Power Point. Must have ability to learn new software programs (Documentum, iBackup and B&V other program tools). Excellent Communication skills. Ability to multi-task. Knowledge of various Engineering disciplines like Civil, Mechanical, Electrical, etc. will be helpful, but not required.
